II. Criteria and Activities of the NP-NE Alumni Association

  • Fundraising for the Alumni Fund to support students of the Department of Nuclear Physics - Nuclear Engineering.
  • Awarding scholarships to students in the Nuclear Physics and Nuclear Engineering programmes.
  • Organizing gatherings on Vietnamese Teachers' Day (November 20th).
  • Supporting the organization of networking and career orientation workshops for students.
  • Collaborating with the Department in teaching and research.

III.1 Operating Regulations of the Student Support Fund

REGULATIONS
ON THE MANAGEMENT, DEVELOPMENT, AND USE OF THE
NUCLEAR PHYSICS - NUCLEAR ENGINEERING STUDENT SUPPORT FUND

Department of Nuclear Physics - Nuclear Engineering, University of Science, VNUHCM

Article 1. Scope and Subjects of Application
These regulations govern the following:

  • The organization, management, development, and use of the Nuclear Physics Student Support Fund (hereinafter referred to as the NP Student Support Fund).
  • The responsibilities and powers of the NP Student Support Fund Management Board in managing, developing, and using the Fund.

Article 2. Objective of the NP Student Support Fund
The NP Student Support Fund is established based on mobilizing voluntary contributions and support from agencies, organizations, individuals, and alumni to, in conjunction with the Department of Nuclear Physics - Nuclear Engineering, University of Science, VNUHCM, assist students with financial difficulties who demonstrate effort in their studies, encourage students to participate in scientific research, and reward students with outstanding academic achievements.

Article 3. Timing and Subjects of Fundraising

  1. Fundraising for the NP Student Support Fund is conducted annually before Vietnamese Teachers' Day (November 20th). Organizations and individuals may contribute once or multiple times throughout the year.
  2. The NP Student Support Fund welcomes voluntary support from the following subjects:
    • Alumni of the University of Science, VNUHCM.
    • Faculty, agencies, organizations, and individuals, both domestic and international.

Article 4. Use of the NP Student Support Fund
The specific uses of the NP Student Support Fund are as follows:

  1. To support students of the NP-NE Department with the costs of organizing the annual Vietnamese Teachers' Day Ceremony (Nov 20th).
  2. To support the costs of visiting and presenting gifts to retired faculty members on Vietnamese Teachers' Day (Nov 20th) annually, or during times of illness.
  3. To award scholarships to support students with their educational expenses. Scholarships are awarded to classes during the annual Vietnamese Teachers' Day Ceremony (Nov 20th).
  4. To assist students with treatment costs and hospital fees when they are ill and require hospitalization (approved on a case-by-case basis according to circumstances and medical condition).
    • Students seeking support must:
      • Submit a support application form provided by the NP Student Support Fund Management Board.
      • Provide documentation proving hospital treatment, including a brief description of the medical condition and treatment method.
  5. To loan money for tuition fees to students whose families face difficult circumstances or natural disasters that affect their ability to pay tuition.
  6. To reward students with outstanding scientific research achievements. The rewarded student must be the main author of a work published in a scientific journal or presented (oral or poster) at a domestic or international scientific conference. Students can use the invitation letter for an oral or poster presentation from the organizing committee, confirmed by their supervisor, as evidence.
  7. To reward the top-ranking graduate of each class.
    • The rewarded student must meet the following criteria:
      • Graduated with honors (Excellent).
      • Achieved the highest average score in the class.
      • Actively participated in union activities, social work, and volunteer activities of the department, university, and society. Students can use photos or certificates from the relevant agency/organization as evidence of their contributions.
    • If no student in a class meets the criteria, the award will be given to the class as a whole.
  8. To support the operating costs of student academic clubs.
  9. To support the procurement of basic equipment for the general academic needs of all students in the Department. The procurement must be approved by the NP Student Support Fund Management Board.

Article 5. NP Student Support Fund Management Board

  1. The NP Student Support Fund is managed by a Management Board nominated by the NP-NE Department and the NP-NE Alumni Association.
  2. The Management Board consists of 07 members, including 05 members from the NP-NE Alumni Association's Executive Committee and 02 members from the NP-NE Department. The members for the 2017-2020 term are as follows:

    • Mr. Lưu Anh Tuyên, Member
    • Mr. Lục Minh Trưởng, Member

    • Ms. Hoàng Thị Kiều Trang, Treasurer
    • Members of the Management Board have equal voting rights. When an expenditure approval is requested via email, members must respond with "agree" or "disagree" within 05 working days (Monday to Friday). A non-response is considered invalid. Approval is granted only with 04 or more affirmative votes.
  3. The Management Board is responsible for managing and developing the fund, and for reviewing and auditing the NP Student Support Fund in accordance with current regulations, as well as considering proposals from the NP-NE Department and the Alumni Association.
  4. The Management Board shall report its financial statements (income and expenditure) to the NP-NE Alumni Association semi-annually and before the annual fundraising campaign.
  5. During fundraising periods, the Management Board will publicly disclose the personal information and contribution methods of donors, with their permission.
  6. The NP Student Support Fund shall use the official seal of the Department of Nuclear Physics - Nuclear Engineering, University of Science, VNUHCM on certificates of merit and financial records.
  7. Extraordinary expenditures not covered by these regulations require the written consent of at least 04 members of the Management Board (email can be used as evidence). If a request is sent via email, a non-response within 05 working days is considered invalid, and late responses will not be considered.

Article 6: The Fund operates with the support, assistance, and supervision of the Department of Nuclear Physics - Nuclear Engineering, University of Science, VNUHCM.

Article 7: Depending on the actual situation and specific conditions, the standards, subjects, and support levels under these regulations may be reviewed, amended, or supplemented by the decision of the NP-NE Alumni Association and the NP-NE Department.

Article 8: These regulations take effect from the date of the signing of the issuance decision. All other provisions contrary to these regulations are repealed.
